This document provides employees with guidance on how business travel should be documented and, where applicable, compensated.

The guidance outlines expectations for all staff who travel on Meridian business, with additional information for nonexempt employees regarding paid and unpaid travel time, timekeeping, and overtime.

Please review the guidance, which covers the following key points:

  • Travel authorization: All business travel must be approved by your immediate supervisor in advance using the travel authorization form available on the Knowledge Base.
  • Recording travel time: Nonexempt employees must accurately record all compensable travel time and any work performed while traveling in Paylocity.
  • Paid versus unpaid travel: Whether travel time is compensable depends on the circumstances, including travel between work locations, one-day business trips, overnight travel, and work performed while traveling.
  • Overtime: All hours worked must be recorded accurately. Travel time and work performed during travel may result in overtime when total hours worked exceed 40 in the workweek. Advance approval requirements continue to apply.
  • Supervisor responsibilities: Supervisors are responsible for ensuring business travel is properly documented and that timekeeping records accurately reflect compensable travel and work time.

Please take a few minutes to review the guidance before your next business trip. Supervisors should also familiarize themselves with the requirements to ensure consistent application across their teams.
